Privacy Policy

Metadata Computer Systems Inc. (“Metadata Advisory”, “we”, “us”) operates https://www.metadatacs.ca. This policy explains what information we collect through this website, why we collect it, and how you can reach us about it. We are a Canadian business and handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).
Information you give us
You can browse this site without submitting any personal information. We collect personal information only when you choose to fill out a form:
- Contact form: your name, company, email address, and message.
- Readiness Checklist: your answers to the readiness questions, and if you request the PDF report, your name, company, email address, and phone number.
- Strategic Partners Network application: your name, firm or business name, website, LinkedIn profile, email address, phone number, the readiness dimension(s) you selected, a description of your track record, whether you currently hold a vendor relationship, and why you want to join the network.
Information collected automatically
We use Google Analytics 4 to understand how the site is used: which pages are visited, roughly where visitors are located (country and region, derived from IP address and not stored), what device and browser they use, and how they arrived. We also use the Google Ads tag so that when we advertise, we can tell whether an ad led to a contact, a checklist request, or a partner application, and the Microsoft Advertising tag for the same purpose on Bing. These tools set cookies in your browser for this purpose.
The Microsoft tag also runs Microsoft Clarity, which records how visitors move through the site: where they click, how far they scroll, and how the mouse moves. Microsoft turns this into heat maps and session replays that we use to see where pages are confusing or where people give up. Clarity masks the text you type into any field before it leaves your browser, so form contents, names and email addresses are never part of a recording.
What this does and does not include:
- Google Analytics does not receive your name, email address, or anything you type into a form. It records that a form was completed, not what it contained.
- We do not use this data to build advertising profiles of you, and we have turned off Google’s ad personalization signals for this site. We may see that an ad click led to an inquiry; we do not follow you around the web afterwards.
- Clarity recordings are tied to a random identifier, not to you. Microsoft keeps individual session replays for up to 30 days and aggregated heat-map data for up to 13 months.
- We do not use any other analytics, session-recording, or social media tracking on this site.
You can stop this collection at any time by blocking or deleting cookies in your browser, by using a content blocker, or by installing Google’s Analytics opt-out browser add-on. The site works normally either way.
How we use it
We use the information above only to:
- respond to the inquiry or message you sent us;
- generate and deliver the Readiness Checklist PDF report you requested;
- review and follow up on Strategic Partners Network applications;
- keep a record of the conversation so we can follow up if a working relationship makes sense;
- understand which pages and content are useful, so we can improve them; and
- measure whether our advertising is worth the money.
We may also use Readiness Checklist answers in aggregated, anonymized form, for example “the average score across manufacturers was X”, to publish research about ERP readiness. Nothing published this way identifies you or your company.
We do not sell or rent your information, and we do not add you to a marketing list without your separate, explicit consent.
Who we share it with
We use a small number of service providers to run this website and deliver what you requested. They process your information only to provide that service to us, not for their own purposes:
- Mailgun, to deliver form submissions and the Readiness Checklist PDF by email.
- Vercel, which hosts this website and its underlying infrastructure.
- Cloudflare, which provides DNS and network security in front of the site.
- Google (Google Analytics and Google Ads), for the usage and advertising measurement described above. Google’s handling of this data is described in Google’s privacy policy. Some of this data is processed on servers outside Canada.
- Microsoft (Microsoft Advertising Universal Event Tracking and Microsoft Clarity), which measures whether a visit that started from a Bing ad led to a contact or booking request, and records the anonymized session replays and heat maps described above. Microsoft’s handling of this data is described in Microsoft’s privacy statement.
- Google Calendar, whose appointment scheduler is embedded on our booking page. When you book a call there, the name, email and notes you enter go to Google to create the appointment, under the same Google privacy policy, and to us as the meeting details.
We do not otherwise share your information with third parties.
How long we keep it
We keep form submissions for as long as reasonably needed to respond to your inquiry or maintain a record of an ongoing relationship. Google Analytics data is retained for 14 months and then deleted automatically. Microsoft Clarity session replays are kept for up to 30 days and heat-map data for up to 13 months. You can ask us to delete your information at any time, see “Your rights” below.
Your rights
Under PIPEDA, you can ask us to:
- tell you what information we hold about you;
- correct information that is inaccurate or incomplete; or
- delete information you previously submitted.
To do any of this, email al_naeb@metadatacs.ca. We will respond within a reasonable time.
Security
We take reasonable technical and organizational measures to protect the information you share with us, including encrypted (HTTPS) transmission of everything you submit through this site and automated protection against form spam. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Changes to this policy
We may update this policy from time to time. The “Last updated” date at the top of this page reflects the most recent change. If we add a new kind of tracking, we will describe it here before it goes live.
